2. What Data We Collect and Why

O4 Club membership and newsletter

When you sign up for O4 Club or subscribe to our newsletter, we may process your email address, selected interests (including Club, Editions and Goods), signup source, signup date and time, subscription status, and member number where applicable.

We use this information to manage membership, send newsletters and membership-related emails, and provide relevant membership benefits.

The legal basis is your consent under Article 6(1)(a) of the General Data Protection Regulation (GDPR), where consent is the applicable basis for the specific activity.

Optional member details

If you choose to give them to us by email, we also store your name, how you would like to be credited (full name, first name and initial, or member number only) and your city. We use them only to credit you when we publish your answer or contribution, or when we list Founding Members in an O4 Edition. If you give us none of them, you are credited by your member number only.

O4 Voices: published member answers

If you reply to an O4 email with an answer to one of our questions, we may publish a selection of answers on o4fc.eu in the O4 Voices section, together with the related article where relevant. We publish an answer only after you have agreed to its publication, we may shorten it for length, and we always credit you according to your credit preference. You can ask us to remove a published answer at any time by writing to info@o4fc.eu.

Contributions and submissions

If you submit a contribution, we may process the submission itself and your preferred credit format.

We publish contributions only with your permission. The legal basis for processing personal data for this purpose is your consent, where applicable.

Messages sent to us

If you contact us at info@o4fc.eu, we process your email address and message to respond to your enquiry.

The legal basis is our legitimate interest in responding to communications and managing enquiries, under Article 6(1)(f) GDPR, where applicable.

Website analytics

If you consent to the Analytics category through our cookie consent mechanism, we use Google Analytics 4 to understand how visitors use the website and improve its content and performance.

We do not intentionally send your name or email address to Google Analytics. For further information, see our Cookie Policy.

The legal basis is your consent.

Website security and delivery

Our website infrastructure and security providers may process technical information, such as IP addresses and request data, to deliver the website, maintain security, and prevent abuse.

The legal basis is our legitimate interest in operating and securing the website, where applicable.

O4 Editions purchases

Purchases of O4 Editions made through third-party stores or platforms are subject to those providers' own privacy policies. Those providers process payment and order information under their own terms. O4 may receive information shared by the relevant provider when necessary to fulfil an order or related request.

3. Who Processes Your Data

Depending on the service involved, personal data may be processed by the following providers:

• Cloudflare: domain-related services, website delivery and security.
• Google Ireland Limited: Google Analytics 4, only when the required analytics consent has been given.

4. How Long We Keep Your Data

Membership and newsletter data

We retain membership and newsletter data for as long as necessary to provide the relevant service or maintain the subscription.

O4 assigns permanent member numbers that are not reused. If a membership is deleted, the member-number history keeps a record that the number was issued, including its issue date, signup source, deletion date and the status of the welcome email at the time of deletion. This record does not contain your email address.

Deleting your subscription or membership does not erase every record that contains your email address. The following may remain:

• Confirmation link records (controlled by O4): your email address, the purpose and source of the signup, and when the link was created and used. Any unused links are deactivated when you are deleted. These records document that confirmation was requested and given.
• Editions bonus delivery records (controlled by O4): your email address, the edition, and the delivery status and time. These records prevent the same bonus from being sent more than once.
• Email delivery logs (held by our email delivery provider): the recipient address and delivery status of emails we have sent you, kept under the provider's own retention practices.

• Published O4 Voices answers: for as long as they are published, or until you ask us to remove them.

Published contributions

Published contributions may remain available on the website after publication. You may contact us to request removal of a contribution associated with you. Printed physical editions cannot be withdrawn from copies that have already been printed.

5. Your Rights

Depending on the circumstances and applicable law, you may have the right to:

• Request access to your personal data.
• Request correction of inaccurate data.
• Request erasure of your personal data.
• Request restriction of processing.
• Object to certain processing activities.
• Request data portability where applicable.
• Withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal.

You can unsubscribe from newsletter emails using the unsubscribe link included in those emails.

6. Age Restrictions

O4 Club and contribution forms are intended for people aged 16 and over. Please do not submit personal information through these forms if you are under 16.

7. Changes to This Policy

We may update this Privacy Policy when our services, data practices, or legal obligations change.

The latest revision date will be displayed at the top of this page. Where changes are significant, we will notify affected subscribers by email where appropriate.
